Completing Yearly Setup

Overview

This article provides directions for completing your yearly setup. The Yearly Setup process allows you to plan for your year ahead and set rating window timeframes. The process includes responding to a series of questions/statements to set up your rating framework. Note: Reminder Notifications Setup has been moved to a dedicated area and is no longer part of the Yearly Setup.

To complete your Yearly Setup:

1. Select the gear icon in the top right corner.
2. Select Admin from the drop-down menu.
3. Select Yearly Setup from the left-side menu.
4. Select the School Year you are setting up (see also School Year in Aperture System)
5. The system will present you with a series of questions and statements to set up your year's assessment framework:
   • How many times would you like all students to be assessed this school year?
     • 1 (Annual Assessment)
     • 2 (Pre- & Post-Assessment)
     • 3 (Pre, Mid & Post Assessment)
     • 4 (Pre, Mid 1, Mid 2, & Post Assessment)
   • When do you want your rating window to begin?
     • You will be given as many calendar options as rating windows specified on the previous screen.
     • You will not select dates for the close of a rating window.  A rating window will close when the next one begins. 
   • Which assessment will you use to assess all students?
     • DESSA 2-mini (rotation)/DESSA HSE-mini (rotation)
     • Full assessment (DESSA 2, DESSA HSE, DESSA Second Step Assessments)
   • Automatically assign a separate assessment based on the results of screener:
     • Enable/Disable - Conditional assignment of a full assessment based on a t-score lower than [insert number]
     • See Yearly Setup - Conditional Assignments for more information on specific ranges.
     • Enable/Disable - Reset each rating window to begin with a screener (now you have the option to begin each rating window with a screener).
     • Enable/Disable - Allow Site Leaders to manage when students can complete assessments at their assigned sites (if your program uses the Student Self Reports).
     • Advanced Options: Exception button:
       • If one or more of the sites in your organization needs to conduct a different assessment by default, click the Add Exception button to complete that setup. 
6. Complete! Head over to the Rating Window Reminders and Assignment Setup sections to continue the school year setup (the Assignment Setup only applies to SIS-managed programs).
