Adding Staff (Site Leaders, Unrostered Educators, and Training Only Users)
Once your sites, educators, and students are rostered, Program Administrators can add Site Leaders, Unrostered Educators, and Training Only Users manually or via a csv file upload. Sites must be set up in the DESSA System before uploading any staff via csv will be successful. The site names included on the csv file must match site names that exist in the DESSA System, otherwise those staff members will not be added during the csv upload process.
To add staff manually:
- Select the gear icon in the top right corner.
- Select Admin from the drop-down menu.
- Select the Staff option on the left-side menu.
- Select the Add Staff
- Enter the details for the staff member.
- Select Save.
- If you are ready to invite the staff member, select the Invite button from the Staff list.
How to add Site Leaders in bulk via CSV file (both self-managed and SIS-managed programs)
- Select the gear icon in the top right corner. Admin from the drop-down menu.
- In the left sidebar menu, select Imports.
- Select the radio button for Site Leaders; click Continue
- Select and open the Site Lead Import Template (bottom of this article).
- Download and open the import template.
- Populate your file according to the column headers on row 1. DO NOT EDIT ROW 1.
- Save the file as a csv on your computer.
- After clicking Continue from the previous screen in the DESSA System, click Browse and search for your saved csv file.
- Select the Upload CSV button on the right side.
- If you are ready to invite staff members, select the Invite button from the Staff list on the left-side menu.
- Verify that these site leaders are now uploaded to the DESSA System from the Staff list on the left-side menu.
NOTE: Existing site leaders who are not included in the csv import will not be removed from the DESSA System. Site leaders must be manually removed on an individual basis.

How To add Unrostered Educators via CSV file (SIS-managed programs only):
- NOTE: Sites must be set up in the DESSA System before adding any Staff via csv will be successful
- Steps for this are the same as steps for adding Site Leaders via CSV file, except that the Unrostered Educators radio button must be selected
- Use this process to upload educators that are not rostered who are needed to rate students (i.e., long-term substitute teachers)
- Unrostered Educators will not be overwritten by SIS imports; indicated by the Rostering Status column on the Staff page
NOTE: Existing unrostered educators who are not included in the .csv import will not be removed from the DESSA System. Site leaders must be manually removed on an individual basis.
How To add Training Only Users in bulk via CSV file (both self-managed and SIS-managed programs):

- NOTE: Sites must be set up in the DESSA System before adding any Staff via csv will be successful
- Steps for this are the same as steps for adding Site Leaders via CSV file, except that the Training Only Users radio button must be selected
- Use this process to upload staff members who only need access to EdSERT and do not have students assigned to rate, nor will need access to review reports in the DESSA System concerning the rating of students.
- Please note, that it may take up to 24 hours for a Training User to have access to EdSert. So if they are created at 6 AM on Thursday, they may not have access until 6 AM Friday.
- Training Only Users' accounts will be removed from the program on July 31 of each year.
Adding New or Requesting Changes to Current Program Admins
A Program Administrator has access to manage all sites, staff, and students in the program's DESSA System. Program Administrator accounts are created by Aperture Education staff.
To change or add Programs Administrators, a current Program administrator or an executive/administrator within your organization will need to submit a request to our Support Team. Select Submit a Request in the top-right corner. In the request, please include the full name and email address of the Program Administrator you wish to add or update.
Our team will then update the account and provide the new Program Administrators with an invitation to create their account for the DESSA System.
NOTE: A list of current Program Administrators can be requested from the Aperture Technical Support Department.
